Commission credit notes: settle agency commission when it suits you 30.10.2026
For operators, accounting, management
If you work with agencies, you know the question: deduct the commission directly on the invoice or settle it separately later? The deduction makes invoices harder to read, and settling later often means lists and manual work. With the commission credit note, the invoice to the agency stays complete, while Bookacamp keeps a ledger in the background from which you create the credit note with one click.
Set it once on the agency
In the agency settings, choose the new option Commission credit note as the calculation base, enter the net commission percentage and decide whether the credit note is created with 19 % or 0 % VAT. The percentage applies to all parts of the invoice: base price, accommodation, transfer and additional services. Insurances and installment surcharges are not part of the calculation base.
The ledger keeps track
From the switch onwards, every issued invoice of a booking or group of this agency records its commission: single invoices, group invoices, collection invoices and free invoices of a booking. Free invoices without a booking or group are left out. If something changes later, nothing is overwritten:
- Cancelled invoice: The commission is reversed exactly, even if it was credited already. The correction is settled with the next credit note.
- Collection invoices: Bookings which already have their own invoice are left out, so the commission is not recorded twice.
- Commission already deducted: Bookings from before the switch keep their deduction until you renew the invoice. Until then the ledger records no commission for them, so it is not paid out twice.
- Cancellation fees: Invoices for cancellation fees earn no commission.
Settle when and what you want
In the agency list and in the agency itself, the item Commission settlement leads to all open entries. There you filter by sessions (all, past, current and future) and by invoices (all or fully paid only). For example, you can settle only the trips which already took place and are paid.
One click creates the credit note as PDF, with its own running number, all items per invoice and the VAT shown. The credit note stays as it is, even if something changes afterwards. If you made a mistake, you cancel it with one click and the entries are open again.
Good to know
The ledger starts with the first invoice after the switch, older invoices are not recorded afterwards. The credit note needs the tax number or VAT ID of the agency, the settlement page points it out if it is missing. Credit notes are not yet passed on to DATEV or other accounting interfaces.
The existing options stay as they are: if you want to keep deducting the commission on the invoice, you do not have to change anything.
